Position Summary

Iskalo Development, a full-service Real Estate Development Company, is looking for a dynamic Portfolio Controller to join our team.  The Portfolio Controller is responsible for all aspects of financial management and reporting for our diverse commercial real estate portfolio.  The ideal candidate excels in real estate accounting, enjoys operating in a fast-paced environment, is skilled at best practices in leading a team to perform in an efficient and effective manner, and communicates professionally and effectively with all levels of the organization.

  • Bachelor’s degree in Accounting or Finance required
  • Master’s Degree in Business, Finance or Accounting a plus.
  • Minimum of five years’ commercial real estate accounting or asset-management related experience.
  • Strong, detail-oriented thinker with understanding of real estate lease and finance transactions.
  • Proficiency in Microsoft Office Suite including exceptional Excel skills.
  • Professional level of verbal and written communication.
Essential Positional Duties and Responsibilities
  • Budgets and Tracking:
    • Working closely with the Asset Manager and Property Managers Department, timely prepare annual property revenue and expense budgets; track actual performance versus budget throughout the year, providing regular reports to include variance analysis.
    • Timely issuance of annual notices to tenants advising of Estimated Monthly CAM Payment due for forthcoming year based upon adopted CAM and Insurance budgets.
    • Timely completion of prior year CAM and Insurance expense reconciliation to budget and issuance of “shortfall” notices to tenants and collection of same.
  • Leases/Rent Collection/Lease Compliance:
    • Set up new tenants in Property Management Accounting system including preparation of lease abstract.
    • Ensure that Portfolio Rents (including Base Rent, R.E. Tax, Insurance and CAM Expense reimbursements) are collected on a timely basis in accordance with the terms of the lease documents.
    • Diligently implement processes for collection of late Rent including direct tenant contact, assessment of late charges, and issuance of late payment and default notices.
    • Timely procurement from tenants of insurance certificates (in proper form and with appropriate additional insureds), tenant sales data, financial statements and any other information as may be required under the lease.
  • Debt and Debt Compliance:
    • Keep and maintain the Portfolio Debt Summary/Abstract inclusive of new and all existing loans and “key” loan terms and conditions.
    • Ensure mortgage payments are timely made in accordance with the terms of the loan documents.
    • Review all new loans and initial payments to verify that lender billing is correct.
    • Oversee operations to ensure all loan payments are accurate and made on a timely basis.
    • Provide documentation and reports to lenders as may be required in loan documents.
    • For incentivized projects/properties, timely compile and submit of documentation and reports to agencies (such as I.D.A.’s) as required pursuant to incentive agreements.
    • Assist Director of Accounting and Ownership, as needed, in preparing documentation and schedules in support of new loan procurement.
  • Property Expenses:
    • Ensure that Property Management related vendor invoices are paid in a timely manner (within terms); trouble shoot invoices with Property Management, as appropriate.
    • Working closely with the Asset Manager, review change of assessment notices received (and applicable equalization rates) to determine fairness of property assessments; engage outside counsel when appropriate to challenge improper assessments.
    • Review and timely payment of Portfolio R.E. Tax bills; compare against I.D.A. PILOT Agreements and any existing Consent Orders (where applicable) to ensure accurate billing.
    • Prompt invoicing of R.E. Tax bills to tenants in accordance with each lease and collection of tenant pro rata share of R.E. Tax bills when due.
    • Timely process of intercompany billing for maintenance, lease commissions, Property Management fees and allocation of Property insurance.
  • Administration
    • Develop and maintain relationships with staff in all operational areas of the organization
    • Act as liaison to outside accounting firms preparing tax returns in addition to audits and advisory services, ensuring information provided is accurate and timely.
    • Management of staff assigned to Portfolio Accounting
  • Prior working experience with a real estate, property management or construction company
  • Motivated, self-starter that works well independently or as part of a team
  • Strong organizational skills and exceptional attention to detail
  • Builds positive intracompany working relationships
  • Strong knowledge and usage of Microsoft Office Suite with focus on Excel
  • Takes initiative, is solution oriented, and follows through on all assigned tasks until resolution
  • Maintains a positive image of Iskalo Development Corp. and its affiliates at all times.
  • Thorough understanding of Generally Accepted Accounting Principles (GAAP)
  • Exhibits sound judgment and reasoning in decision making
  • Encourages open communication in dealing with situations; maintains objectivity and an even temperament in resolving conflicts
  • Promptly and professionally respond to customer and vendor inquiries regarding invoices, payments etc.
Physical Demands
  • Valid driver license and use of personal vehicle for business purposes
  • Work performed in a modern, well-lit office setting
  • Use of various computer software programs including Microsoft Office Suite (Word, Excel etc.), Sage and Timberline as well as standard office equipment (phone, calculator, copier)
  • Ability to sit and stand for extended periods of time. Must occasionally lift and/or move up to 25 pounds.
