The Facilities Manager is responsible for the day-to-day implementation of the policies, procedures and programs that assure well-managed, well maintained building(s), placing maximum emphasis on positive response to the concerns and needs of the tenants, environmental health and safety and quality programs.

  • Associate’s degree preferred;
  • Five to seven years’ experience in commercial, institutional, industrial property management (e.g. office buildings, health care facilities, corporate facilities, etc.);
  • Understanding of construction and occupational knowledge of electrical, mechanical and plumbing methodology required;
  • Professional style of verbal and written communication
Essential Duties & Responsibilities
  • Assess, manage and maintain building systems and building structures within Iskalo portfolio.
  • Oversee, manage and complete portfolio building systems and structure projects and maintenance.
  • Research and discuss/review technical aspects of projects, repairs and maintenance with ownership.
  • Create project scopes of work.
  • Create project budgets and schedules.
  • Obtain vendor quotes for review/approval.
  • Order and coordinate materials needed for projects.
  • Draft, manage and process vendor and tenant proposals for work.
  • Coordinate purchase order drafting, signature and approval for assigned projects.
  • Review and approve invoices received from vendors for payment.
  • Participate in tenant project meetings and project coordination meetings.
  • Supervise project and repair/maintenance work on site performed by vendors and Iskalo technicians.
  • Track quality and performance of work. Promptly take corrective action if needed.
  • Manage vendor relationships for building systems and portfolio work as assigned.
  • Work with Property Managers to ensure buildings and systems are inspected and maintained as required.
  • HVAC replacements, repairs and maintenance
  • Roof replacements, roof drain cleaning and annual inspections
  • Building systems monthly/quarterly/annual inspections
  • Building mechanical equipment inspections, maintenance and repairs
  • Installation, monitoring and upgrades to building control access systems
  • Building structure and/or building systems damage
  • Create, update and manage property/building plans to be used for bidding of services.
  • Work with architecture to have current tenant floor plans with dimensions.
  • Update and manage MEP drawings for each property and have on site for reference.
  • Create and maintain report of fire alarm devices, extinguishers and locations.
  • Update and maintain roof report with ages, date of replacements, photos and site plans.
  • Update and maintain HVAC report with ages, date of replacements, photos and site plans.
  • Maintain building and systems information in electronic property books.
  • Respond to property/building emergencies if/as required in person as required.
  • Manage vehicle fleet – repairs and maintenance of vehicles and work with PM coordinator to keep records.
  • Manage Iskalo maintenance warehouse.
  • Manage Iskalo owned equipment inspections, repairs and maintenance.
  • Work with Property Managers in managing recurring corrigos and recurring property maintenance items.
  • Coordinate response for emergencies involving building systems, property damage or weather/storm events.
  • Work with PM Coordinator and Property Managers to create daily maintenance tech schedule.
  • Implement field safety measures and protocols under direction of executive management.
  • Coordinate turnover/hand-off to Property Management of all newly renovated buildings and acquired properties.
  • Receive, file and track all applicable building system documentation and warranties for properties.
  • Develop and implement preventative maintenance program for major equipment/systems at properties.
  • Assist as needed with questionnaires, reports and inspections in support of property acquisitions and financings.
  • Assist architecture and construction as needed under direction of VP of Leasing and Asset Management.
  • Participate in capital project budget planning with VP of Leasing and Asset Management.
  • Knowledge of property/facility vendor relationship management, property/facility budgeting and project management;
  • Working knowledge of Corrigo software;
  • Full competency in managing tenant relationships;
  • Ability to identify and resolve issues in a timely manner developing alternative solutions and applying reason, even when dealing with difficult situations;
  • Effectively communicate with other departments within the organization with special emphasis on collaboration with the Accounting Department;
  • Manage difficult or emotional customer situations; responding promptly to customer needs and requests for service and assistance;
  • Encourage open communication; confront difficult situations; maintain objectivity; keep emotions under control; use negotiation skills to resolve conflicts;
  • Exhibit sound and accurate judgement; willingness to make decisions; support and explain reasoning for decision; makes decisions timely and includes appropriate people in decision making process;

  • Strong knowledge and usage of Microsoft Office Suite with focus on Excel;
  • Takes initiative, is solution oriented and follows through on all assigned tasks until resolution;
  • Working knowledge of real estate, construction or property management environment preferred
Physical Demands
  • Valid driver license and use of personal vehicle for business purposes;
  • Work performed at various property locations in addition to a modern, well-lit office setting;
  • Exposure to outside weather conditions;
  • Use of various computer software programs including Microsoft Office, Word, Excel in addition to standard office equipment (phone, calculator, copier, fax);
  • Daily travel to company properties;
  • Moderate noise level;
  • Ability to walk, talk, bend, lift, stand, sit, kneel, crouch and crawl. Must occasionally lift and/or move up to 50 pounds.
